Registration Information

Deadline: Advance registration will be open through midnight, Thursday, October 3, 2025.

Registration: There are two categories of registration:

  • Standard Registration:

- Early Bird: $235 (before August 31, 2025)
- Regular: $255 (September 1 – October 3)
Standard registration includes the Welcome/Congressional Reception (Thursday), all meetings (Thursday-Sunday), lunch (Saturday), and access to the ROA Minute Man Lounge (Friday-Sunday).

  • Awardee Registration: No charge
    Awardee registration includes the Welcome/Congressional Reception (Thursday), all meetings (Thursday-Sunday), lunch (Saturday), and access to the ROA Minute Man Lounge (Friday-Sunday).

Cancellations: We understand that plans can change. If you need to cancel, please let us know in writing (dmarkham@roa.org) by October 8, 2025, and we’ll gladly refund your registration minus a $25 processing fee. After October 8, we’re unable to offer refunds, as ROA makes important commitments on your behalf. Thanks for your understanding!

Meeting Venue

All meetings will be held at ROA’s Minute Man Memorial Building, 1 Constitution Ave NE, Washington, DC 20002. CLICK HERE to find it on Google Maps.

Lodging

This year, you get to pick the hotel that works best for you! ROA has not reserved a block of rooms at any specific hotel, so you have the flexibility to book wherever you like. If you want to stay close to ROA Headquarters, search for hotels in the Capitol Hill area. Resolutions Voting and Town Hall Meeting

Your Voice, Your Vote! Get ready to make your voice heard — for the first time ever, all ROA members will vote on this year’s resolutions by ballot! Voting opens September 1 and runs through September 30, 2025. Want the inside scoop before you vote? Don’t miss our virtual Resolutions Town Hall on August 13, 2025 at 7:00 PM (Eastern) — where we’ll break down what’s on the ballot and why it matters.

Elections

Get Ready to Shape ROA’s Future! This Voting Season, from September 1–30, 2025, ROA members will elect 12 new leaders to the Executive Committee—and your vote matters! Each service section will choose its next Vice President, Junior Vice President, and two Executive Committeemen. For the Naval Services, one Executive Committeeman will represent the Navy, PHS, or NOAA, and the other will represent the Marine Corps, PHS, or NOAA.

Proposed Constitution and Bylaws Amendments.

Big Changes Are on the Table—Have Your Say! Get ready—proposed amendments to ROA’s Constitution and Bylaws will be up for debate and decision at the Annual Meeting on Sunday, October 19, 2025. Delegates

Step Up and Represent—Become a Delegate! Want to have a direct voice in shaping ROA’s future? Now’s your chance! Every member is encouraged to apply through their department leadership to serve as a delegate at the 2025 Annual Meeting. As a delegate, you will cast votes that help decide the direction of the Association on behalf of your department.

Departments must submit completed delegate forms to National Headquarters by October 3, 2025. Forms are available in both Word and PDF formats. Dress/Attire

Dress to Represent—Professionally and Proudly. The recommended attire for all meetings and receptions is business casual. Members attending in uniform are expected to uphold the grooming, physical, and uniform standards of their respective services. Whether in blazer or battle dress, your appearance reflects the professionalism and pride of ROA—show up sharp!

Getting There

If traveling by air, the most convenient airport is the Ronald Reagan Washington National Airport (DCA). Alternative airports are Washington Dulles International Airport (26.8 miles from hotel) and Baltimore/Washington International Thurgood Marshall Airport (37.2 miles from hotel).

Getting Around Town

The Washington, DC area offers a subway system that covers the metropolitan area. The ROA Minute Man Memorial Building is an approximate 10-minute walk from both the Union Station (red line) and Capitol South (orange line) The Ronald Reagan Washington National Airport is on the Blue & Yellow Lines.
